Key Responsibilities
- Coordinate office activities and operations to ensure efficiency and compliance with company policies.
- Oversee office supply management, ensuring cost-effective procurement and proper inventory tracking.
- Provide high-level administrative support to senior management, including managing schedules, preparing reports, and coordinating meetings.
- Supervise staff and delegate responsibilities to ensure optimal performance.
- Manage agendas, travel arrangements, and appointments for upper management.
- Coordinate event planning and monitor the Director’s incoming emails, responding promptly.
- Oversee office space management, including layout, seating arrangements, and relocations if needed.
- Handle incoming communication, including phone calls, emails, and visitor inquiries.
- Coordinate internal communication to keep team members informed of updates and announcements.
- Assist in monitoring and controlling office-related budgets and expenses.
- Coordinate with the finance team to process invoices and payments.
- Create and update records and databases with personnel, financial, and other relevant data.
- Track office supply inventory and place orders as necessary.
- Review and improve administrative processes to increase efficiency and reduce costs.
- Act as a liaison between different departments and senior management to ensure effective communication of office needs, challenges, and progress.
