What you will do:

SUCCESS Enterprises is seeking a highly organized Media Coordinator to provide administrative support for speaker engagements, online courses, podcasts, and events. This role requires strong organizational skills, attention to detail, and professional communication.

The Media Coordinator will assist with scheduling, materials, and logistics for speakers, courses, podcasts, and events, ensuring smooth execution across platforms. Responsibilities will include coordinating travel, preparing materials, tracking deadlines, processing payments, and supporting virtual and in-person events.

Key Responsibilities:

Speaker & Event Support

  • Coordinate scheduling and travel arrangements for speakers and guests.
  • Maintain and update speaker profiles, bios, promotional materials, and CRM.
  • Assist in onboarding speakers, ensuring all necessary documentation is completed.
  • Prepare and distribute event materials such as itineraries, presentations, and speaker
  • notes.
  • Support event logistics, including venue coordination, virtual event setup, and equipment
  • needs.
  • Collect and distribute post-event recordings, feedback, and follow-up materials.

Online Course & Podcast Support

  • Schedule and track progress for SUCCESS+ courses and podcast recordings.
  • Coordinate guest bookings for podcasts and assist with pre-recording preparations.
  • Maintain organization of course materials, video files, and transcripts.
  • Assist with content updates to ensure consistency.
  • Administrative & Financial Support
  • Maintain an organized database of speakers, podcast guests, and event contacts.
  • Process invoices, payments, contracts, and expense coding in a timely manner.
  • Track and manage budget-related documentation for speaker engagements, courses, and
  • events.
  • Prepare and update reports on project timelines, content schedules, and key deliverables.
  • Coordinate team meetings, scheduling calls, and content planning sessions.

How you will grab our attention:

  • 1-3 years of experience in administrative support or coordination.
  • Strong organization, time awareness, and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office and Google Workspace.
  • Experience handling scheduling, document tracking, and database updates.
  • Familiarity with basic media production and podcast workflows is a plus.
  • Bachelor’s degree in communications, business, or a related field preferred.
  • Ability to support multiple projects and prioritize tasks effectively.
