Job Description

Hello! We’re looking for an Administrative Assistant to help keep things running smoothly in two key areas:

  • People & Office Administration – managing travel, events, and general organisation.
  • Finance Administration – invoices, payments, and financial reports.

This is a hands-on role where you’ll have a mix of structured tasks and things that pop up along the way. If you like keeping things in order, making sure people have what they need, and getting things done, this might be a great fit.

This is a hybrid role that offers flexibility in working hours, with the requirement of spending at least one day per week in our Zagreb office at WESPA Spaces.

Tasks

People & Office Administration

  • Keeping track of time off and benefits. You’ll maintain records of working hours (Evidencija radnih sati) and annual leave (Evidencija godišnjih odmora) and help employees with benefits like Multisport.
  • Handling travel. You’ll book and organize trips, mostly to our office in Zagreb for work or team events, but sometimes for conferences too. For Croatian employees, you’ll also prepare travel orders (Putni nalozi) and track spending on trips and events.
  • Own and organise company events. If we’re organizing a team get-together, you’ll be the one making it happen, coordinating flights, handling venue offers (ponude), and ensuring everything goes as planned.
  • Office management. You’ll stop by regularly to pick up mail, send out company swag to customers, community members and new employees, and make sure supplies are stocked.

Finance Administration

  • Managing invoices. You’ll be responsible for our accounts-payable email—paying invoices, making sure everything is processed properly, and working with our UK and Croatian accountants.
  • Handling financial reports. Every quarter, you’ll submit reports to HNB (Croatian National Bank), and once a year, you’ll submit reports to DZS (Croatian Bureau of Statistics). If any new financial or administrative reports become required, you’ll be responsible for managing those too.
  • Track company finances. We already have a process in place for tracking cash flow in both our UK and Croatian entities, you’ll follow this and update a summary of expenses each month. If something can be improved, we’d love your input.

Requirements

What You Need to Succeed

  • You’re familiar with labour laws and regulations. You don’t need to be a legal expert, but you should understand how things like benefits, travel, and pay work in Croatia.
  • You understand finance and are great with Google Sheets (and Excel). Most of our work is done in Google Drive, so being comfortable in the cloud is a must. You should be able to handle spreadsheets, track budgets, and keep things clear for the rest of the team.
  • You’re organized and detail-oriented. This role involves keeping track of a lot of different things—benefits, travel, invoices, reports—so you should enjoy staying on top of it all.
  • You must be comfortable working in a remote setting. Memgraph is remote and 95% of the communication happens through Slack and email as well as all the other digital tools usually found in remote companies (Google Drive, Zoom, etc). Hence, knowing how to use both and being comfortable and effective is a strong must.

A Few More Things to Know

  • We use Mac OS – if you’re a Windows person, that’s fine, but you’ll need to be comfortable switching.
  • This is a hybrid role. Some things can be done remotely, but you’ll need to come into the office regularly for mail, shipments, and other tasks.
