Key Missions

The Office Manager / Executive assistant plays a key role in ensuring the smooth operation of the office and providing administrative support to the teams. The main esponsibilities include:

 

• Administrative / Operations Management:

  • Handling purchase orders (preparing purchase requests)
  • Managing imports/exports (permits, liaising with customs, ANRT, Portnet requests, etc.)
  • Organizing and maintaining administrative documents (contracts, invoices, expense reports, etc.)
  • Acting as a liaison with external service providers and suppliers (telecom operators, etc.)
  • Coordinating with the accounting department

 

• Facility Management:

  • Ensuring the proper maintenance and operation of office facilities
  • Managing relations with Casanearshore adminstration 
  • Drafting and overseeing site maintenance contracts
  • Ensuring efficient stock management of office supplies and equipment
  • Overseeing service providers (reception, security, cleaning, courier services)
  • Contributing to a positive and efficient work environment

 

• Teams Support:

  • Organizing business travel (support with booking flights, hotels, and transportation)
  • Providing administrative support for new employees
  • Assisting in the organization of external training, meetings, and events
  • Collecting and providing CSR KPI data

 

What can you bring ?

  • Experience: 3 to 6 years in administrative assistance or office/facility management
  • Education: Bachelor’s degree (Bac+2/3) in administrative management, business management, or equivalent
  • Skills:
    • Proficiency in office tools (Word, Excel, PowerPoint, Outlook)
    • Strong organizational and time management skills
    • Excellent interpersonal skills, professional demeanor, and customer service orientation
    • Ability to work independently and handle multiple tasks simultaneously
  • Languages: Fluent in French and English
