We are currently seeking a high calibre professional to join our team as an Executive Assistant.
Principal Responsibilities
The role hole holder will provide support for two Managing Directors, Chief of Staff and Chief Commercial Officer for International Wealth & Premier Banking. The role holder will assist in the administration of a high volume of work and ensure that deadlines are met. The role holder is required to deal with multiple complex enquiries at the same time, which will require a thorough and thoughtful response to be prepared, often in a time pressured environment. It will be necessary for the role holder to be highly adaptable and resilient to pressured environments. The role holder will need to be proficient in senior stakeholder management across geographies & cultures and be able to operate with a high level of discretion.
- Provide full administrative and secretarial support to both MDs and the wider team as required
- Effective diary management
- Coordinate & organize meetings including agenda preparation, document distribution and taking minutes when required
- Inbox support, highlighting awaiting approvals, deadlines and urgent issues/responses
- Be able to prioritize and manage multiple projects simultaneously, following up on deadlines and ensuring timely completion of tasks
- Support on all appropriate management admin for the respective Global Heads. Includes supporting HR policies, IT functionality and management of team admin activities such as holiday planning, training compliance
- Co-ordinate complex travel, booking accommodation and processing claims for expenses
- Ensure tasks are organized and completed in accordance with procedures to ensure a consistent level of customer service
- Maintain a tracker of Travel & Entertainment expenses for both teams ensuring sufficient sign off is obtained
- Organize and plan off-site events when required
- Meetings are organized and advised to all. Collate papers, agenda items and MI for meetings
- Providing cover for other senior EAs as required
- Handle confidential and sensitive information with utmost discretion and professionalism
- Working closely with other Executive Assistants to facilitate the smooth running of the team, ensuring that major set piece events such as steering committees have the necessary organisation set around them
- Regular liaison with direct reports to ensure that projects are on track and that deadlines are met
Requirements
- At least two years of experience at senior administrative / secretarial level to a senior management function
- Thorough understanding of bank and departmental procedures, functions and activities
- Planning and organisational skills, developed through hands-on experience
- Excellent interpersonal, written and verbal communication skills, including experience of dealing with executive and senior management levels
- A flexible, calm and pro-active approach to work including the ability to prioritise and re-prioritise to achieve successful outcomes
- Excellent IT skills ie. Proficient use of Microsoft Office, Word, Excel and PowerPoint
