OUR OPPORTUNITY
We are seeking a detail-oriented and organized Admin/Operations Officer to support our operational and administrative functions. The ideal candidate will be responsible for managing contracts, Iqamas, travel and visa arrangements, assisting with HR and insurance documentation, and maintaining accurate records. This role is essential in ensuring smooth, efficient operations within our organization.
YOU WILL
» Support the execution of HR operations and administration, such as payroll processing, and benefits administration including overtime payments, leave settlement, insurance dues, salary deductions, end of service benefits and GOSI required cheques and other payroll related transactions, and ensure timely renewal of contracts, iqamas, licenses and other company relevant certificates.
» Implement internal HR practices that secure compliance with Saudi Labor Law and regulations for Saudi employees and stay informed on new laws and regulations related to employee affairs and provide recommendations to improve current practices.
» Coordinate with legal and compliance officers to ensure compliance with regulatory requirements and standards in all operational activities and obtain legal review and approval for all relevant actions before execution.
» Maintain regular HRIS input by collecting relevant employee information, such as personal data, contract terms and NDAs ensuring compliance with company policies and legal requirements and Process completed onboarding documents, update relevant systems, and follow up as necessary.
» Perform related day-to-day activities while coordinating with other functions within HR including talent acquisition and talent management, with other departments including IT and marketing, and with similar functions in other company branches and sister companies.
» Prepare and process travel documents including visa applications and related permits, coordinate travel arrangements with travel agents, ensuring efficient and cost-effective travel plans, as well as accommodation when needed, and keep track of travel documentation deadlines and maintain organized records of all relevant documents.
» Process insurance-related documents for employees and coordinate with the insurance team for any follow-ups, address employee inquiries related to insurance policies and ensured that all policy details are accurately communicated and maintained.
Requirements
TO BE SUCCESSFUL IN THE ROLE YOU NEED
» Bachelor’s degree in business administration, Human Resources, or a related field.
» 5+ years of experience in an HR administrative or operations role in KSA.
» Excellent organizational and multitasking abilities.
» Strong communication skills, with the ability to liaise effectively with travel agents, insurance teams, and other departments.
» Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with HR systems is a plus.
» Proactive approach to problem-solving and strong attention to detail.
» Ability to work independently and as part of a team.
» Detailed knowledge of Saudi Labor Law and regulations
