The role:

The purpose of this role is to maintain and control Functional Level Documents as well as Functional Level Legal Appointments. Manage new and changed Functional documents and Legal Appointments by means of the document control systems for the approval tracking, accurate recording, monitoring and issuing of quality documentation.

Responsibilities will include but not limited to:

  • Document Control Management for all Divisional functions – Documents & Legal appointments
  • Management of Document control report for all Divisional functions – Documents & Legal Appointments
  • General admin, communication notifications and SAP tasks for Divisional Safety team
  • Management of Seriti single repository management (Back-end Portal) for the relevant operations
  • Management of the operational document system as per the group Governance Management Policy
  • Assist and provide support during audit / preparations and compliance reviews at functional and operational levels
  • Execution and Management of Legal Appointments for the relevant functions linked to MHSA, OHSA, DoL, RSR and Explosives Act as per the group Legal Appointment Standard.
  • Provide required documents and legal appointment notifications to the DMRE
  • Ensuring that the format of Seriti documents aligns with the Information Management document control procedure
  • Ensuring that the correct and valid documents are available on the Portal
  • Maintain a Master Index (per function/department) of Functional documents in use
  • Retains the relevant documents as specified in the Document Management system Policy
  • Communicate updates of documents to the relevant parties
  • Track and monitor the reviewing and re-authorization of controlled documents

Requirements:

  • Grade 12 (NQF Level 4)
  • Qualification or proof of registration towards a National Diploma in Safety Management, Administration/Business studies
  • Minimum of 3 years’ experience in Coal mining
  • Exposure to Safety, Health and Environment Systems
  • Proficiency in MS Office
  • Valid driver’s license
  • In possession or able to obtain a valid Certificate of Fitness

Advantageous:

  • Mining/Engineer qualification
  • Experience in Document control and legal Appointment Management
