Executive Administrative Partner

Provide dynamic coordination, project management, and administrative support to the Country Division Head (CDH), ensuring the seamless and efficient operation of the CDH’s office and related activities.

What You Will Do

  • Administrative Mastery: Manage the CDH’s calendar, logistics, and provide comprehensive support.
  • Financial Tasks: Handle Travel & Entertainment reports, mileage, purchase orders, invoices, and budget tracking.
  • Committee Participation: Engage in committees, working groups, and project teams.
  • Communication & Prep: Draft correspondence, assist with crafting presentations, and prepare meeting materials.
  • Inquiry Handling: Manage internal and external inquiries, directing them as needed.
  • Efficient Scheduling: Prioritize communications and organize a streamlined schedule.
  • Network Engagement: Contribute to the Bayer Inc Coordinator Network
  • Cross-Department Collaboration: Liaise with various Bayer departments locally and globally.
  • Event Coordination: Assist in organizing leadership meetings, town halls, and updates.
  • Agenda & Minutes: Develop and maintain agendas, minutes, and action lists.
  • International Liaison: Coordinate with the US EA for meetings and travel.
  • Executive Committee Support: Coordinate activities with Executive Committees and their assistants.
  • Meeting Management: Organize and lead effective meetings, ensuring follow-up actions.

Who You Are

  • Educational Background: Degree in project management, administrative studies, or equivalent work experience.
  • Experience: 5+ years in administrative support, including managerial level.
  • Skills: Strong communicator with tested project and time management abilities, balancing strategic thinking with attention to detail. French language proficiency an asset.
  • Problem Solver: Proactive with strong negotiation and decision-making skills.
  • Customer Focused: Build and maintain positive relationships with stakeholders.
  • Multidisciplinary: Thrive in a multi-disciplinary environment.
  • Creative Solutions: Provide innovative solutions to complex problems.
  • Tech Savvy: Proficient in Office 365, Teams, Concur, Canva, Chat GPT or similar, SalesForce, and Adobe Acrobat DC Pro.
  • Ethical Standards: Commitment to high professional ethical standards.
  • Balanced Priorities: Balance commercial priorities with day-to-day requirements.
