Job Description

What will you do?
- Issue petty cash and balance the ledger daily; prepare requisitions for petty cash replenishment; submit relevant documentation to Payroll, Accounts Payable, and Accounts Receivable, and maintain files accordingly
- Negotiate payment arrangements and establish repayment plans with customers.
- Monitor and manage aged receivables, identifying high-risk accounts and escalating as needed.
- Investigate and resolve billing discrepancies to ensure accurate and timely payment.
- Reconcile customer accounts to maintain accurate records and proper payment application.
- Prepare and analyze reports on collection status, payment trends, and account aging.
- Create purchase orders using Business Central; have purchase orders approved, received, batched, and submitted to Accounts Payable in a timely manner; submit monthly accrual reports
- Maintain a proper filing system and restock office supplies while maintaining inventory
- Answer phone calls, direct them to the appropriate person, and provide general support to visitors
- Organize schedules, coordinate events, and handle office reception duties such as greeting visitors, answering phones, and overseeing mail/couriers
- Resolve issues that may arise with data entry or record-keeping of scale tickets
- Coordinate the issuance and collection of swipe cards for all staff and generate work orders for the maintenance department
- Able to meet deadlines while delivering high-quality work
- Assist the Admin Manager, General Manager, or Site Manager with other duties as assigned
- Assist Admin Manager, General or Site Manager with other duties as assigned.
What will you bring?
- A college degree
- Strong ability to prioritize work
- A minimum of 2 years of experience in a related administrative role
- Expertise in Excel, MS Office, Outlook, and Word, with excellent data entry skills
- Attention to detail, proficiency in performing reconciliations, and understanding of work prioritization
- Excellent verbal and written communication skills
- Ability to multitask and strong interpersonal skills
- Working knowledge of time and attendance programs and purchase order systems is an asset
- Experience in the waste management and recycling industry is a plus
- A friendly personality combined with a proactive “roll-up your sleeves and get it done” attitude
