Key Responsibilities
- Formulate and execute comprehensive event plans that encompass timelines, budgets, and resource distribution.
- Oversee logistical arrangements, such as venue selection, transportation, accommodation, and on-site operations.
- Collaborate with internal teams and external partners to guarantee smooth event execution.
- Develop and manage event budgets, identifying cost efficiencies while preserving quality.
- Negotiate contracts with venues, caterers, AV providers, and other vendors to obtain advantageous terms.
- Supervise logistical components, including setup, breakdown, attendee materials, and equipment.
- Ensure adherence to health, safety, and legal regulations throughout the event lifecycle.
- Partner with the marketing team to devise promotional strategies and event communications.
- Collaborate with the Registration Chair to facilitate the registration process, including online systems and payment processing.
- Deliver outstanding customer service to attendees and address inquiries promptly.
- Establish standard operating procedures and train staff or planning committees.
- Stay informed on industry trends and best practices to consistently enhance event quality.
Required Skills
- Outstanding organizational and project management skills.
- Excellent negotiation, communication, and problem-solving capabilities.
- Proficiency in Microsoft Office Suite and event management software (e.g., Cvent, PassKey).
- Familiarity with KPIs and marketing strategies relevant to event management.
- Willingness to travel domestically and internationally as required.
- Physical ability to lift 15-25 lbs and perform tasks involving bending, reaching, or repetitive movements.
Qualifications
- A bachelor’s degree in Event Management, Hospitality, Business Administration, or a related discipline is essential.
- A minimum of 3-5 years’ experience in event planning and management, demonstrating a successful track record, including the execution of large-scale events with over 5,000 attendees.
