Job Description
Job Roles:
- Strategically manages and coordinates complex meeting and project calendars for the President and Director of Project Management, anticipating and adjusting for shifting priorities, critical deadlines, and high-impact engagements.
- Enhances leadership effectiveness by designing and implementing systems and procedures that streamline operations and optimize workflow, often in response to evolving organizational needs.
- Plays an active role in key meetings—coordinating logistics, documenting discussions, producing agendas and minutes, ensuring action items are followed through, and tracking deliverables to completion, regardless of when or where meetings occur.
- Develops and refines tracking systems tailored to project demands, leveraging existing tools or creating user-friendly solutions that improve transparency, accountability, and efficiency.
- Serves as a critical communication link, ensuring directives from the President and/or Director of Project Management are effectively conveyed and executed across teams, even in time-sensitive or urgent situations.
- Maintains impeccable organization of essential files, correspondence, and project materials, supporting seamless executive operations and decision-making at all times.
- Demonstrates adaptability and a high level of responsiveness, seamlessly taking on additional responsibilities as needed to advance organizational priorities.
- This position involves a dynamic workload that may require additional hours
Education/Certifications/Licenses/Registrations:
- Bachelor’s degree in Business Administration, Healthcare Administration, Political Science, Project Management, or a related field is required.
- An equivalent combination of education and/or experience that provides the necessary skills, knowledge, and abilities to perform effectively in the role.
- Masters preferred
Experience/Specialized Skills:
- At least 5 years of experience in an Administrative Assistant, Personal Secretary, or Executive Assistant role, with a preference for experience in supporting high-level executives.
- Proven track record in project management, with strong organizational and multitasking skills.
- Ability to work collaboratively across all levels of the organization, demonstrating excellent communication skills.
- Proficiency in a second language, particularly Spanish, is preferred, alongside superior written and verbal communication abilities.
- Advanced skills in Microsoft Office and a typing speed of at least 65 WPM.
- Experience in dictation and transcription is an added advantage, reflecting a versatile skill set.
- The selected candidate must complete an office application competency assessment and achieve a score that meets the proficiency standards established by FHCSD for this position.

If you are hired at Family Health Centers of San Diego, your final base salary compensation will be determined based on factors such as geographic location, jurisdictional requirements, skills, education, and/or experience. In addition to these factors – we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is what we reasonably expect to pay for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.
