Job Description

The Sr. Coordinator, Office Services will perform routine administrative, and facilities support duties and will ensure that all services are performed at a high level that always exceeds the client’s expectations.

Responsibilities

  • Manage Office Services inbox and respond to inquiries in a timeline manner
  • Partner with security personnel to ensure smooth front desk visitor process, including managing visitor logs, director, and guest passes and providing relief coverage to front desk
  • Provide back-up for internal/external mail and delivery services for the office including receiving, sorting, and distributing incoming mail and packages and preparing and arranging outgoing shipments
  • Maintain general cleanliness of front desk, mailroom and office supply cabinets
  • Support general maintenance of coffee machines and storage units
  • Coordinate Sharebite program including tracking delivery, setting out food, notifying employees of arrival, and troubleshooting issues
  • Communicates with vendor to ensure beverage and snack orders are received and on a weekly or “as needed” basis
  • Conducts daily walk thru of facility checking for deficiencies and notifying Director as needed
  • Accountable for all desk/office setup & reset including assembling, disassembling, and/or moving furniture and equipment
  • Support new hire onboarding to ensure desk space has proper set-up and supplies
  • Assist in organizing and setting-up office events, such as HR engagement activities, meetings, and trainings including preparing meeting materials, logistics, equipment, and refreshments
  • Assist with office moves as needed
  • Assist with large scope projects and act as alternate point of contact as needed
  • Track office supplies; check and stock general supply cabinet and mailroom inventory.
  • Assists with Emergency Procedure, Fire Alarm Procedures, and general office Safety
  • Ensure Floor Warden Kits are stocked and distributed to team members
  • Perform daily duties as per job requirements and as assigned
  • Assist with processing, submitting, and tracking all invoices
  • Assist with coordination of new vendors to insure accounts are up with accounting

Qualifications & Skills

  • High school diploma or equivalent (GED)
  • 3+ years of experience in an office setting and/ or equivalent combination of education and experience
  • Able to lift 30 lbs unassisted (files, paper reams, boxes, and/or equipment)
  • Possess professional level verbal and written communication skills
  • Strong interpersonal and organizational skills
  • Must have proven customer service skills
  • Knowledge of Microsoft Office software and applications
  • Demonstrated ability to multi-task in a fast-paced environment and use sound judgment
  • Ability to prioritize work, demonstrated problem-solving ability, and a very strong attention to detail
  • Ability to work and actively participate in a team environment

Compensation

$60,000 – $70,000
