Job Description

The ForWard Insurance Agency is looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. The duties of the Administrative Assistant include providing support to our team, assisting with daily office needs, and managing our company’s general administrative activities. Administrative Assistant responsibilities include preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills, an understanding of an office environment, and be able to use a variety of office software such as Microsoft 365 and Adobe. Being detail-oriented is a must. A successful Administrative Assistant should ensure an efficient and smooth day-to-day operation of our office.

Responsibilities

  • Greet clients or visitors when they arrive.
  • Attend meetings and take detailed minutes.
  • Assist in the preparation of regularly scheduled reports.
  • Answer phones and handle customer service inquiries.
  • Assist members with claims.
  • Maintain company emails – distribute and answer accordingly.
  • Maintain company systems.
  • Maintain company calendar.
  • Maintain contact lists.
  • Organize and maintain files (digital and physical).
  • Assist with client contracts.
  • Maintain and restock office supplies.
  • Prepare enrollment kits and sales materials for events.
  • Liaise with executives to handle requests and queries.
  • Other duties as required.

Skills

  • Experience as an Administrative Assistant or Office Administrator is preferred, but not required.
  • Knowledge of office management systems and procedures.
  • Proficiency in MS Office (MS Excel and MS Word, in particular).
  • Proficiency with Adobe Acrobat.
  • Basic math skills.
  • Attention to detail and problem-solving skills.
  • Excellent time management skills and the ability to prioritize work.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.

Requirements:

  • High School degree or equivalent: additional administrative assistant or Secretary qualifications are a plus.
  • Ability to speak and write in English. Bilingual is a plus.
  • Typing speed between 40 – 60 wpm.
  • Ability to maintain confidentiality of company and client information.
