Position: Procurement Officer

Program/ Function: Procurement & Administration

Location (Region and City): Lucknow- North Region

Reporting to: Regional Manager- Procurement & Administration

Nature of Employment: Open- ended

KEY ROLES & RESPONSIBILITIES

The responsibilities include, but are not limited to:

  • Support in preparation of procurement plans.
  • Identification of vendor and empanelment of vendors.
  • Collection of procurement related documents quotes etc. and support in processing of procurement requests.
  • Follow up on purchase orders, ensuring smooth supplies, quality checks, and settlement of vendors.
  • Support the Manager & program team for all the rent renewals and hiring of any new office premises.
  • Negotiate the best rates and deals available in the markets for travel and lodging.
  • Event management for the region as per National Office guidelines.
  • Maintain a strong relationship with the Program field team & National and other regional Procurement and Admin teams.
  • Preparation of Fixed Assets Register/Consumable Register with tagging for all programs.
  • Maintaining records of all movable & immovable assets at central and state offices and ensure assets register and asset numbering is up to date.
  • Support in absence of Officer- Administration in tasks related to travel/tickets/ cab/ taxi and stay arrangements of Project staff and visitors as per travel requests, events management and administrative support to all meetings/ conferences and official receptions.
  • Support to organize office filing systems, maintenance of inward-outwards registers, receipt and dispatches.
  • Ensure all organizational assets including equipment, and other fixed assets in all offices are insured at all times.
  • Any other tasks assigned by Reporting Manager/Regional Director.

Language requirements: Strong command of English & Hindi- written and verbal.

Academic qualifications: Graduate/Post-Graduate with 3-5 years of work experience in Procurements & General Administration.

Work experience: Around 3-5 years of experience in Procurement and General Administration with a not-for-profit would-be a plus.

Experience of working on any software preferred.

Working knowledge of excel spreadsheets.
