Virtual Rockstar is seeking a dedicated and detail-oriented Medical Virtual Assistant to join our client’s dynamic physical therapy team in Wyoming. This role provides essential support to ensure seamless medical office operations, including benefit verifications, prior authorization requests, and efficient communication with both patients and front desk staff. Responsibilities:

  • Benefit Verification: Call insurance providers or use online portals to verify insurance benefits for patients and upload information into the EMR system.
  • Insurance Benefit Forms: Complete and fax Insurance Benefit Forms (IBF) to front desk staff at appropriate clinics.
  • Prior Authorization (PA): Obtain prior authorization for outpatient physical therapy services, tracking authorization numbers, visits, dates, CPT codes, and notifying the front desk staff of completion.
  • Chart Audits: Conduct monthly chart audits in the EMR to ensure all new evaluations are properly documented.
  • Plan of Care (POC) Management: Run weekly Plan of Care list, follow up with physicians to get POCs signed, and document attempts to obtain signatures in the EMR.
  • Communication Log: Review the daily communications log, resolve fax issues, and ensure successful delivery to recipients.
  • Client Appointment Scheduling: May assist in scheduling patient appointments as necessary.
  • Team Collaboration: Participate in monthly staff meetings and other team events via Zoom.
  • Training: Complete Front Desk Guru training or other required training as needed.
  • Additional Duties: Perform other related tasks as assigned by management.

Requirements

  • Proficiency in English: Strong verbal and written communication skills.
  • Location Requirements: Must work in the U.S. Mountain Standard Time (MST) zone or similar hours.
  • Motivated & Team-Oriented: Work collaboratively to improve workflow and accuracy in benefit verifications.
  • Professionalism: Always maintain a professional attitude and behavior in all interactions.
  • Preferred Knowledge: Familiarity with WebPT (EMR) and Weave (phone system) is a plus.
  • Upbeat Personality: Must have a positive attitude and enjoy helping others.
  • Problem-Solving: Ability to follow through on issues and ensure they are fully resolved.
  • Independence & Accountability: Must be able to work independently when needed and meet deadlines.
  • Education: Some college education or a college degree is required.
  • Equipment Requirements: Must have access to a fax, scanner, printer, personal computer, and phone.
