Job Overview

As a Remote Scheduling Representative at Rack Electric, you will be responsible for scheduling and managing appointments for our service team and ensuring a seamless experience for both clients and technicians. You will work closely with customers to understand their needs, confirm appointment details, and ensure timely and efficient scheduling of services. This is a remote position, offering flexibility and the opportunity to contribute to a growing team from the comfort of your own home.

Key Responsibilities

  • Appointment Scheduling: Schedule, confirm, and reschedule appointments for service technicians based on customer needs, ensuring optimal allocation of resources and time.
  • Customer Interaction: Communicate with clients to confirm service details, answer questions, and ensure that they are well-prepared for their scheduled appointments.
  • Service Coordination: Work with service teams to ensure technicians are aware of their schedules and equipped with all necessary details to deliver efficient service.
  • Calendar Management: Maintain and update the company’s scheduling system, ensuring accurate and conflict-free appointments.
  • Customer Service: Provide outstanding customer service by handling inquiries, managing appointment changes, and resolving scheduling conflicts promptly and professionally.
  • Follow-Up: Send appointment reminders to customers and confirm details prior to the service date, reducing no-show rates and cancellations.
  • Data Entry: Accurately record all customer interactions and scheduling details in CRM or scheduling software.
  • Collaboration: Work with the operations and customer service teams to ensure smooth scheduling processes and timely service delivery.
  • Issue Resolution: Address and resolve scheduling issues, including rescheduling and adjusting appointments as needed to accommodate both customer needs and technician availability.

Requirements

  • Customer Service Experience: Previous experience in customer service or scheduling (preferably in a service-based industry like home services or utilities).
  • Strong Communication Skills: Excellent phone etiquette and written communication skills. Comfortable interacting with clients and service teams professionally and efficiently.
  • Detail-Oriented: Ability to handle multiple appointments, make adjustments, and keep accurate records in a fast-paced environment.
  • Organizational Skills: Strong organizational skills with the ability to prioritize and manage a high volume of scheduling tasks.
  • Tech Savvy: Comfortable using scheduling software, CRM systems, and other office tools like Google Calendar, Microsoft Office Suite, or similar tools.
  • Problem-Solving: Ability to think quickly and resolve scheduling issues or conflicts in a timely manner.
  • Remote Work: A reliable internet connection and a quiet, distraction-free workspace for remote work.

Preferred Qualifications

  • Experience in scheduling or appointment coordination, especially in a remote environment.
  • Familiarity with scheduling software or CRM tools such as ServiceTitan, Salesforce, or similar.
  • Previous experience in the electrical or home services industry is a plus.

Bilingual skills (English/Spanish) are a plus.
