Summary
The Institutional Registrar is responsible for academic recordkeeping and for ensuring the integrity, quality, accuracy and confidentiality of student records while remaining compliant with all existing policies and procedures including state, federal and accreditation regulations. Provides leadership and administrative oversight for student records systems, and provides strategic operational direction of registration, documents, and systems support.
Minimum Requirements
- Associate’s Degree in Business Administration or a related field
- Previous post-secondary proprietary college experience
- Ability to work in a fast paced environment
- An ongoing customer focus
- Ability to work extended hours (which will include evenings and weekends), in order to meet business objectives.
Essential Duties And Responsibilities
- Performs data entry in the student management system and maintains/verifies student schedules and statuses.
- Prepares and analyzes statistical data for weekly and historical data reports.
- Verifies and approves academic records of students applying for permission to enter college.
- Performs in a timely manner: registration (drop/add and withdrawal) and status changes
- Ensures student schedule is within program requirements and pre-requisites are met (when applicable)
- Ensures compliance with institution’s policy on WCFAs, independent study registration, and course audit status.
- Ensures accurate attendance, monitors LDAs.
- Update and maintains graduation dates.
- Prepares certificates of attendance upon request
- Ensure compliance with grades institution’s policy. Appropriately re-scheduled F/W grades each quarter.
- Performs review of academic transcripts on a term/modular basis to determine standards of academic progress per student and disseminates this information to the Academic department.
- Issue official transcripts and order/produce diplomas or delegates the task to a staff member.
- Prepares and maintains annual schedule of courses in addition to term schedules.
- Reviews the course offering per term for potential class cancellations and may make such recommendations.
- Coordinates dissemination of information on courses offered.
- Provides the Financial Aid Department with the breakdown of each student’s academic requirement for repackaging their Title IV.
- Provides the Career Services Department with the breakdown of students entering their last quarter.
- Works as a team member with the Academic, Financial Aid, Bursar and Admissions departments
