WEDDING & SPECIAL EVENTS COORDINATOR

The Four Seasons Resort Hualalai is looking for a Weddings & Special Events Coordinator who shares a passion for excellence and who infuses enthusiasm into everything they do. Our Event Coordinators have the opportunity to shape our guest experience by providing exceptional knowledge of the Resort and exemplifying the Golden Rule in each interaction. Work authorization required.

What You’ll Do

  • Enthusiastically interact with guests and respond promptly to ensure that the client’s requirements and expectations for each event are met.
  • Share your personal passion and knowledge of the services and amenities available to help our guests feel comfortable and at home.
  • Enjoy multi-tasking at a fast pace, while having an impeccable eye for detail and accuracy.
  • Attend appropriate resort and department meetings and prepare the appropriate reporting tools as needed.
  • Receive and respond to incoming telephone calls to the Special Events Department in accordance with Four Seasons Standards, and assist with overflow for Sales & Marketing, Food & Beverage, and Executive Office.
  • Prepare detailed and accurate written correspondence to internal departments and external clients, including but not limited to emails, letters, contracts, reports, banquet event orders, schedule of events, printed menus, and more.
  • Maintain catering system accounts, including traces, creating and updating bookings, manipulating events in the function diary and the preparation of banquet event orders.
  • Serve as the point of contact for clients and vendors or acting as the liaison between the Event Managers and clients throughout the event process (pre-event, event, post-event).
  • Distribute Special Event Services correspondence to the resort operating departments as required. Examples: Amenity Cards, Resume, Change Log and Banquet Events Orders.
  • Update electronic event tracking reports for internal teams and databases daily.
  • Maintain the various Special Events office file systems, both electronic and paper, including Account Files, Vendor Resource Files and Resumes.
  • Operate and maintain a variety of electronic and manual office resources, including but not limited to printers, copy machines, supply ordering systems and supply organization, payment processing systems, and more.

What To Bring

  • Successful candidate must possess legal work authorization in United States
  • Ability to accurately read and work with computer systems.
  • Strong Customer Service skills.
  • High school diploma or equivalent preferred.
  • Prior hospitality experience preferred.
  • Must be able to work well under pressure, and to accurately follow instructions, both verbal and written.
  • Must have excellent listening and communication skills.
  • Ability to work a flexible schedule at times which may include evenings, weekends, and holidays.
  • Must have the ability to resolve problems / conflicts in a diplomatic and tactful manner.
