POSITION SUMMARY: Under the supervision of the attorneys in the Private Client Services practice and according to established policies and procedures, legal assistant will perform a variety of secretarial and administrative duties with a focus on operational excellence; establish and maintain positive relationships with attorneys, staff and clients; observe confidentiality of both client and other firm matters.

ESSENTIAL FUNCTIONS:

  • This position is for a full-time in-office Legal Assistant;
  • Responsible for processing original client documents including draft, copy, scan, create, and transmit documents to attorneys and clients;
  • Consistently and accurately file documents and emails into i-manage filing system;
  • Maintain and update ongoing client status document in MS Excel;
  • Provide general administrative support to legal professionals including maintaining calendars and schedules;
  • Maintain attorney’s Outlook Contacts with all client information;
  • Processing attorneys’ incoming and outgoing mail, correspondence, memoranda and other administrative documents;
  • Process new clients’ engagement letters, conflicts, etc.;
  • Process client billing with attorney and billing coordinator;
  • Must have the ability to maintain good public relations with clients, as well as observing confidentiality and attorney/client relationships;
  • Coordinate all aspects of client meetings, including conference room booking, catering, provide necessary documents in a timely manner.
  • Act as a witness at the signing of estate planning documents,
  • Notary Public license strongly preferred;
  • Manage attorney expenses via firm software;

ADDITIONAL FUNCTIONS:

• Special projects as requested.

QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES):

  • (Associate’s or Bachelor’s Degree preferred) with at least 4+ years of related administrative or legal assistant experience. Specific knowledge of estate and trust documents/terminology a plus.
  • Strong organizational skills are imperative with the ability to organize and prioritize numerous tasks and complete them in a timely manner on an on-going basis, as well as under strict time constraints when necessary.
  • Must possess a high level of technical competency on various job-related computer software packages and applications including MS Word, MS Outlook and MS Excel.
  • Strong written communication skills with the ability to proofread material for grammatical, typographical, and spelling errors required.
  • Strong interpersonal skills to communicate successfully in person, by phone or through e-mail;
  • Must be able to follow instructions effectively from a diverse group of legal professionals and staff and provide information with professional courtesy and tact.
  • Must be able to maintain discretion and confidentiality related to all functions.

PAY TYPE : Hourly

ANNUAL PAY RANGE: $70,000-$100,000

Please Note: The hourly and/or annual salary amount is based on a *good faith* compensation analysis in pursuant of New York City Human Rights Law (NYCHRL) listed under *Senate Bill 9457*. Final starting salary/wage is dependent on the candidate’s experience level, industry expertise, skills and other factors that are defined in the job description.
