Description

Are you a proactive, dynamic professional with a passion for excellence and a knack for organization? Langham Hall Luxembourg is looking for an enthusiastic Executive Assistant & Facilities Manager to support our Head of Office and lead our facilities team to new heights!

About the role:

Here is a glimpse of what you will be doing:

  • Manage the Head of Office’s agenda, scheduling internal and external appointments and ensuring timely follow-ups.
  • Organize and facilitate meetings, including preparing agendas, taking minutes, and distributing materials, specifically for the Authorized Management Meeting of the company.
  • Assist in preparing files, conference calls, and events for the Head of Office.
  • Prepare and edit documents, presentations, and reports with precision and professionalism.
  • Process, disseminate, and archive (where necessary) incoming and outgoing communications.
  • Create presentations and reports for meetings.
  • Answer telephone calls, providing solutions or redirecting to the appropriate contact.
  • Provide administrative support for various projects and activities.
  • Supervise the Office Managers, coordinating performance and appraisal meetings.
  • Support the development of the Office Managers, fostering knowledge transfer and leveraging talents.
  • Ensure team alignment with company values.
  • Provide proactive back-up during absences.

Minimum requirements:

  • Minimum bachelor’s degree or equivalent thinking level.
  • At least 3 years of experience in in a similar role.
  • Excellent command of written and spoken English; professional knowledge of French is a plus.
