We are in search of a meticulous and well-organized Patient Services Representative to become a part of our team. This role acts as the initial point of contact for patients, delivering outstanding customer service while executing administrative duties that facilitate the smooth functioning of the practice. Key Responsibilities:

  • Patient Engagement: Welcome patients with a friendly demeanor and professionalism as they arrive. Effectively oversee the registration process and appointment scheduling, ensuring that every interaction exemplifies a commitment to exceptional customer service.
  • Clinical Communication Management: Effectively assess and route clinical calls to the relevant departments or staff, guaranteeing prompt and accurate responses to patient inquiries.
  • Documentation Support: Assist patients in filling out essential forms and paperwork, offering clear instructions and support to ensure precision and completeness.
  • Facility Maintenance: Maintain a clean, organized, and welcoming work area and lobby, fostering a positive initial experience for all patients and visitors.
  • Issue Resolution: Promptly refer patient questions or concerns to the appropriate channels, ensuring a high standard of service and patient satisfaction.
  • Productivity and Compliance: Achieve or exceed departmental productivity goals while having a comprehensive understanding of billing practices and the medical services provided by healthcare professionals.
  • Accurate Data Management: Enter patient information into the system and oversee patient records, including the organization and retrieval of medical charts as needed, ensuring all data is up-to-date and easily accessible.
  • Dependability: Demonstrate reliable attendance and punctuality, thereby facilitating the uninterrupted delivery of patient care and services.
  • Additional Duties: Perform other tasks as assigned by the supervisor, enhancing the overall effectiveness and efficiency of the healthcare team.

Qualifications:

  • Previous experience in a medical office or healthcare setting required, 1-2 years
  • Excellent communication and interpersonal skills
  • Strong attention to detail and organizational abilities
  • Proficiency in electronic health record (EHR)
  • Microsoft 365 experience required: must be able to use excel, word, and teams
  • Ability to work efficiently in a fast-paced environment and handle multiple tasks simultaneously
  • Compassionate and patient-focused attitude

Physical Requirements:

Employees must possess visual and auditory acuity essential for effective communication with colleagues and customers to fulfill business requirements.

Employees must possess the ability to read written documentation and communicate effectively through speaking and listening with both colleagues and customers.

Proficiency in operating a diverse range of office equipment, including but not limited to personal computers, copiers, fax machines, and multi-line telephones.

The employee works in a standard indoor environment and may occasionally need to perform light lifting, not exceeding 20 pounds, as well as engage in some travel outside the office.
