Key Responsibilities
- Primary duties and responsibilities include, but are not limited to, the following:
Vendor Management:
- Manage the new vendor onboarding process to ensure new vendors are set up timely while meeting Attovia’s compliance policies.
- Manage vendor database to ensure it is up to date and accurate.
- Establish and maintain strong relationships with key vendors, ensuring alignment with company needs and objectives.
- Collaborate with internal stakeholders to understand business needs and ensure suppliers meet those requirements
Purchase Order Management:
- Create, issue, and manage purchase orders (POs) in compliance with company policies.
- Monitor the status of purchase orders (POs) to ensure timely delivery and fulfillment, and promptly close them upon completion
- Work with IT on hardware/software procurement
Negotiations and Cost Savings:
- Negotiate contracts and discounts with vendors to achieve cost savings while maintaining quality standards
- Review vendor proposals and agreements, ensuring terms are favorable and risks are mitigated
- Consider stakeholder priorities when negotiating with vendors to ensure solutions align with broader business goals
Accounts Payable Collaboration:
- Work closely with the Accounts Payable (A/P) team to reconcile invoice discrepancies and ensure timely vendor payments
- Resolve payment disputes and discrepancies promptly to maintain positive vendor relationships
Process Improvements:
- Collaborate with Contract Management and internal stakeholders to identify pain points and optimize procurement workflows.
- Identify opportunities to streamline procurement processes and enhance operational efficiency
- Contribute to the development and implementation of procurement systems, policies and procedures
Data Analysis and Reporting:
- Create regular reports on spending trends, vendor performance, and procurement efficiency
- Develop KPIs for the procurement process and track improvements.
Operations and Logistics Support:
- Collaborate with Facilities Manager to coordinate shipments and deliveries
- Support lab team and Facilities Manager with operational needs.
Other Responsibilities:
- Provide ad-hoc support as needed
Basic Qualifications
- Bachelor’s degree in Business Administration, Supply Chain Management, or similar fields with a minimum of five (5) years of procurement, supply chain, or related experience in the biotech or pharmaceutical industry
- Strong knowledge of procurement processes, vendor management, and contract negotiations
- Experience with purchasing systems such as Procurify, Coupa, or similar
- Excellent analytical and problem-solving skills, with attention to detail
- Strong communication and interpersonal skills
- Ability to work independently and collaboratively in a fast-paced environment
