What You’ll Accomplish

  • In conjunction with the Event Operations Manager, coordinate operations details for external bookings up to the first 200 guests. This includes reviewing staffing needs, need sheets distributed in a timely fashion (at least 10 business days prior to the event date), floor plans, and verbal and written communication with external clients to ensure constant communication between the Museum and the client. The standard expectation for communication is to answer all questions within 24 hours during the business week.
  • Support the external event coordination by handling detailed site visits between the Museum and the client to ensure event operations and standards are met.
  • Act as an additional on-site contact for external daytime events, ensuring the room is set correctly, greeting guests, and liaising with the internal department(s) to ensure smooth guest experience.
  • Proactively addresses client concerns or adjustments to event plans.
  • Build and maintain positive relationships to encourage repeat business and referrals.
  • Communicate effectively with internal teams to align operational efforts with event goals.
  • Proposes recommendations for future event improvements. Maintains a proactive and solutions-oriented mindset under time-sensitive conditions.

Previous experience coordinating complex events is a plus.

Salary Range: $22.90 USD – $28.63 USD
