As a Executive Assistant in the Risk Management team, you will support our Managing Directors and team members across London, Paris, and Frankfurt. You will manage complex schedules, coordinate logistics, and ensure smooth communication across the organization. Your role is vital in maintaining an effective control environment and supporting our mission to understand and manage risks. We value your attention to detail, flexibility, and ability to deliver high-quality work in a team setting.

Job Responsibilities

  • Manage complex calendars and logistics for Managing Directors.
  • Coordinate in-person meetings, conference calls, and video calls.
  • Provide administrative support to the MRGR team across multiple locations.
  • Serve as a gatekeeper in person and over the phone.
  • Arrange complex travel logistics, including flights, VISAs, and accommodations.
  • Process expenses and manage account reconciliations through Concur.
  • Utilize internal systems for accurate data entry and information collation.
  • Draft high-quality emails and messages for all organizational levels.
  • Understand group priorities and become an integral part of the business.
  • Assist with onboarding new team members, including technology and access setup.
  • Collaborate with global assistant colleagues for smooth team operations.
  • Perform general administrative duties and lead ad hoc projects.
  • Handle regular activities proactively and independently.

Required Qualifications, Capabilities, And Skills

  • Professional attitude with strong interpersonal skills.
  • Polished, executive communication style.
  • Previous administrative experience, ideally at the Managing Director level.
  • Strong proficiency in Microsoft Office.
  • Competency in diary management with good judgment on priorities.
  • Experience arranging travel and producing accurate itineraries.
  • Demonstrated proactivity and ownership in previous roles.
  • Flexibility and openness to change.
  • Ability to follow up without prompting and anticipate needs.
  • High attention to detail and quality results.
  • Team player who builds networks and collaborates effectively.

Preferred Qualifications, Capabilities, And Skills

  • Experience in a high-paced, deadline-driven organization.
  • Familiarity with risk management or financial services.
  • Experience with Concur or similar expense management systems.
  • Ability to adapt procedures and techniques to align with departmental goals.
  • Experience working with executive-level clients across multiple lines of business.
