Job Description
Overall Purpose
- Answers frequently asked questions from applicants and employees relative to the firm’s policies, timesheets/paid time off, hiring processes, etc.
- Coordinates new hire orientations by developing agenda, conducts human resources session of orientation, collects new hire documentation, and ensures new hire questions are answered
- Assists with the 90-day and annual performance evaluation process for support staff
- Provides full lifecycle recruiting support for support staff, including job postings, sources candidates via resume submissions, schedules interviews, prepares offer letters, initiates and monitors background checks
- Coordinates and tracks mandatory training such as Harassment, Discrimination & Retaliation Prevention to ensure state compliance
- Assists with firm and HR initiatives including, but not limited to, Staff Appreciation Week, Holiday Party, summer events, and monthly social hours
- Sets up and maintains confidential HR files
- Coordinates secretarial overflow assistance as needed
- Prepares monthly expense reports for CHRO, CTO, CFO, and Accounting Manager
- Creates and sends monthly HR Newsletter
Accounting/Payroll
- Reviews hourly support staff timesheets for accuracy and compliance with firm policies
- Assists CFO with administrative tasks, such as scheduling meetings, updating files and binders
- Distributes annual Cash Balance Plan Notices to attorneys
- Assists with Umbrella Insurance coverage for participating Partners
Skills, Knowledge, And Abilities
- Some experience in an office environment, preferably in an administrative, HR, or recruiting role
- Excellent written, verbal, and listening communication skills
- Outstanding customer service and excellent verbal and written communication skills
- Ability to maintain confidentiality and handle confidential information appropriately
- Strong administrative, and organizational skills, consistent attention to detail, and accuracy
- Must be a team player, be flexible, and be a good listener with a high level of patience
- Ability to work in a fast-paced, deadline-oriented environment
- Ability to multi-task and prioritize workload
- Strong organizational and time management skills
- Strong knowledge of Word, Excel, PowerPoint, and Outlook
- Must be able to communicate effectively via emails, letters, and phone with all firm-wide employees in a professional and diplomatic manner
Qualifications/Requirements
- Bachelor’s degree preferred
- At least one year of HR experience preferred
Physical Demand
Lifting up to 25 pounds; kneeling, bending, and lifting required. Typing/sitting at a desk for long durations at a time; walking of company floors to attend to business mattes in various departments.
The salary wage range that we expect to pay for this position is from $47,000 – $54,000 annually and represents our good faith and reasonable estimate of the range of base salary at the time of posting. The actual salary offered may vary based on experience, qualifications, or other relevant factors.
