A Computer Operator/Office Assistant plays a vital role in ensuring the smooth operation of office functions by handling both technical and administrative duties. Their job is a combination of computer operation and office support, providing assistance in a wide range of tasks to maintain office efficiency.
Key Responsibilities:
- Computer Operation:
- Operate and monitor computer systems, including hardware and software, ensuring all are functioning properly.
- Input and manage data into various databases or spreadsheets, ensuring accuracy and consistency.
- Run and schedule system reports, back-ups, and software updates as necessary.
- Troubleshoot minor computer issues or liaise with the IT department for more complex problems.
- Ensure that the office network, printers, and other devices are running smoothly.
- Data Entry & Management:
- Collect and organize information for data entry tasks, ensuring accuracy when transferring data from paper forms or other sources into digital formats.
- Maintain and update records such as files, databases, and logs, making sure all information is up-to-date and accessible for team members.
- Support team members by organizing documents, files, and other materials in a way that is easily accessible and efficient.
- Administrative Support:
- Handle general office duties, including answering phones, handling correspondence (emails, letters, etc.), and managing appointments or schedules.
- Assist with preparing reports, presentations, and documents by compiling necessary data.
- Perform office filing, photocopying, and faxing tasks to support day-to-day operations.
- Organize meetings, events, or conferences, including scheduling, sending out invites, and coordinating logistics.
- Ensure office supplies are stocked and reordered when necessary, managing inventory.
- Communication & Customer Service:
- Serve as a point of contact for internal and external stakeholders, answering queries, providing information, and facilitating communication.
- Maintain a professional demeanor when interacting with clients, customers, and staff, either in person, over the phone, or through email.
- Ensure a smooth flow of information between departments, relaying relevant updates to team members as needed.
- Office Maintenance:
- Ensure the office environment is clean, organized, and conducive to a productive work atmosphere.
- Perform basic maintenance tasks like ensuring all equipment (computers, printers, etc.) is functioning properly or reporting issues to the appropriate departments.
Required Skills & Qualifications:
- Technical Skills: A strong understanding of computer systems, software, and basic troubleshooting is essential. Knowledge of office software, such as Microsoft Office (Word, Excel, PowerPoint), is expected, and familiarity with specialized database systems may be a plus.
