Job Description
Position Summary The Sports Coordinator plays a vital role in supporting the Athletic Director, managing the daily operations of all sports programs within MSA. This role encompasses responsibilities such as personnel onboarding, overseeing coach education programs, administering tryouts, and coordinating facility reservations. The position is essential to the day-to-day operations of all sports programs, ensuring a seamless customer experience across all MSA brands by handling varied administrative tasks and maintaining clear communication with parents and athletes. In collaboration with the MSA Sport Directors, the Sports Coordinator will play an integral role in developing and implementing best practices for personnel management and fostering the growth of sports programs through building the support staff and systems, all under the guidance of the Athletic Director.
Responsibilities
- Oversee the scheduling and allocation of internal facility usage across all sports program.
- Maintain accurate records and generate regular reports to optimize facility utilization and ensure operational efficiency.
- Facilitate and manage the end-to-end onboarding process for coaches, including background checks, orientation, and compliance training.
- Serve as a resource for new and returning coaches to ensure they are equipped with the tools and information necessary for success.
- Coordinate events, volunteer opportunities, and collaborations with local organizations to foster positive relationships.
- Develop and implement a comprehensive MSA Coach Education program to provide ongoing professional development, certifications, and resources for coaching staff.
- Establish training standards and a curriculum to enhance coaching effectiveness and ensure alignment with MSA’s mission and values.
- Develop standardized agendas and best practices for parent and season kickoff meetings to foster clear communication and set expectations.
- Work with sport directors and coaches to ensure meetings are informative, engaging, and aligned with program goals.
- Create and administer customer experience surveys to gather valuable feedback from athletes, parents, and stakeholders.
- Analyze feedback to identify areas for improvement and collaborate with staff to implement enhancements that strengthen program quality and satisfaction.
- Serve as the primary point of contact for organizing and administering tryouts across all sports.
- Oversee registration, scheduling, and logistics to ensure a smooth and professional tryout process for athletes, parents, and coaches.
- Maintain open and professional communication with parents, coaches, and other affiliates through email and phone correspondence.
- Address inquiries and concerns promptly to ensure a positive experience for all stakeholders.
- Provide administrative support to enhance programming and club activities, including scheduling, coordination, and resource allocation.
- Assist in organizing events and ensuring operational preparedness.
- Perform other duties as assigned to support the overall mission and objectives of the organization. Requirements
- Strong organizational skills, excellent verbal and written communication
- Excellent attention to detail and analytical capabilities for personnel management, data collection, and reporting
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with registration software systems
- Intrinsically motivated; ability to take ideas or concepts from startup to completion with little guidance
- Ability to maintain a high level of accuracy in preparing and entering information
- Ability to plan, multi-task and manage time effectively
- Exceptional communication and interpersonal skills to interact with diverse stakeholders
- Ability to work evenings and weekends
- Bachelor’s degree preferred
