Administrative Assistant

6 months fixed-term contract with the possibility of extension

Start date : early March 2025

Reporting to the Senior Director, Operations – Europe, CDPQ Global, the incumbent collaborates in achieving the group’s business objectives by handling various administrative tasks with rigor and professionalism. The main mandate is to provide organizational support by prioritizing and coordinating all tasks associated with the daily activities of investment professionals (who may be in London, Paris, or Berlin). Additionally, the person will collaborate and ensure coordination of administrative activities with other assistants.

What You Will Do

  • Coordinate internal and external meetings, taking into account respective schedules; book meeting rooms (in-person), plan technological needs related to meetings;
  • Plan and organize certain trips by ensuring various reservations (accommodation, transport, meetings, restaurants) in collaboration with the travel agency and carry out the usual checks and authorization requests;
  • Ensure rigorous follow-up of certain files, including onboarding and integration of new team members;
  • Contribute to best practices in document management, create and manage SharePoint sites, OneNote, Teams platforms, and other technological tools;
  • Prepare expense reports and payment requests according to current policies;
  • Review letters, various documents, and presentations;
  • Perform any other related tasks that may be assigned.

What You Bring

  • Minimum of five (5) years of relevant professional experience in a similar role;
  • An equivalent combination of education and experience may be considered;
  • Excellent oral and written communication in English;
  • Proficiency in French or German: an asset;
  • Proficiency in Microsoft Office suite, particularly Outlook, PowerPoint, Word, and Teams;
  • Knowledge of SharePoint applications: an asset;
  • Location: London.
