Position Summary

The Operations Specialist Virtual Assistant will support the client by managing day-to-day operational tasks, enhancing process efficiency, and coordinating communication across teams. This role will free up the Operations Manager to focus on high-value activities, enabling the client to scale operations sustainably and effectively.

Key Responsibilities

  • Scheduling & Coordination:
    • Handle U-Haul reservations and coordinate vehicle pickups and returns.
    • Support dispatch operations by ensuring all vehicles and materials are accounted for and ready for deployment.
    • Maintain and update daily operational schedules and logs.
  • Process Management:
    • Document and organize operational workflows for ease of use and training.
    • Track and log inventory for materials and supplies used in each job.
    • Assist in maintaining compliance with operational procedures and company policies.
  • Recruitment & Onboarding:
    • Assist with recruitment by screening candidates, scheduling interviews, and communicating with potential hires.
    • Support onboarding processes for new hires, including documentation and coordination.
  • Data Management & Reporting:
    • Use tools like SmartMoving to track operational data and generate reports for the client.
    • Audit lead attribution and update data to ensure accurate reporting on key metrics.
  • Communication & Support:
    • Act as a point of contact for the Operations Manager and on-ground team to resolve queries.
    • Monitor and address operational challenges and escalate issues as needed.

Preferred Qualifications

  • 1-2 years of experience in operations, logistics, or administrative support (experience with moving companies is a plus).
  • Proficiency with CRMs such as SmartMoving or similar tools.
  • Strong organizational skills with keen attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple priorities and meet deadlines in a remote work environment.
  • Proficiency with Google Workspace and project management tools.

Schedule & Work Environment

This is a remote, full-time position requiring availability during the client’s business hours (EST). Occasional flexibility may be required to handle time-sensitive operational tasks.
