Job Description

This is a remote position.

Full-time (40 hours a week)

Mon – Fri 9 AM- 6 PM (EST) includes 1h unpaid break.

Administrative Support

Key Responsibilities:

  • Oversee daily office operations, including managing supplies, organizing files, and maintaining office systems.
  • Handle scheduling and calendar management, ensuring appointments, meetings, and events are well-coordinated and prioritized.
  • Prepare, proofread, and format documents, reports, and presentations.
  • Manage correspondence by responding to emails, drafting letters, and handling phone inquiries.
  • Maintain accurate records, databases, and filing systems (both digital and physical).

Personal Assistance

  • Organize personal errands, appointments, and reservations as needed.
  • Coordinate travel arrangements, including booking flights, accommodations, and itineraries for both business and personal trips.
  • Maintain discretion with sensitive personal and professional information.

Project Coordination

  • Support with event planning, including logistics for meetings, conferences, and team gatherings.
  • Assist with tracking and organizing ongoing projects to ensure deadlines are met.
  • Conduct research and compile information on various topics to support decision-making.

Team Collaboration

  • Act as a liaison between the executive, staff, and external contacts.
  • Ensure clear communication and coordination across different teams or departments.

Qualifications

  • Proven experience as an Office Administrator, Personal Assistant, or similar role.
  • Strong organizational and multitasking skills, with exceptional attention to detail.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software tools.
  • Ability to prioritize tasks and meet deadlines in a dynamic environment.

Preferred Skills

Experience handling both business and personal assistant duties.

Strong problem-solving skills and the ability to anticipate needs.
