Job Summary
This is a full-time, benefits-eligible position responsible for ensuring the efficiency and effectiveness of the President and Vice President of Operations office. This position will be responsible for performing several administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload, as well as prioritizing tasks in a fast-paced environment.
The Executive Assistant is expected to have excellent attendance and communication skills, possess the ability to build lasting business relationships, and exhibit professionalism.
Essential Job Duties And Responsibilities
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
- Strategically prioritizes conflicting needs; handles all matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures
- Organization of meetings, events and projects, including scheduling, sending reminders, and overseeing all details to completion
- Assist in activities including project planning, prioritization, initiation, execution, and human resources intake and training
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed
- Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.
- Prepare, reconcile, and submit expense reports
- Ensures operation of equipment by completing preventive maintenance requirements, following manufacturer’s instructions, troubleshooting malfunctions, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques
- Oversee management of office supplies and equipment inventory by maintaining stock, anticipating needed supplies, evaluating new office products, placing and expediting orders and verifying receipt of supplies
- Organize and maintain files and records
- Assist with Marketing Department on projects and events

Education And Experience
- College degree preferred, but not required
- 3+ years of experience in project management
Physical Demands
- Must be able work with a computer for a minimum of 7 hours daily either standing or sitting
- Must be able to read printed materials and computer screen with or without MS or other software accessibility functions
- Must be able to effectively communicate by e-mail, by phone, or in person during the workday.
- Travel when needed
