Responsibilities
- Responsible for overseeing all aspects of event planning and coordination for destination and local weddings, ensuring an exceptional and seamless guest experience.
- Manages client relationships, event logistics, budgeting, and ensuring that the hotel’s catering services meet the highest standards for quality, presentation, and service.
- Act as the primary point of contact for clients after they booked the catering services for events, ensuring all client needs are understood and met.
- Work closely with wedding planners, event coordinators, and the hotel’s management team to ensure smooth execution of the event.
- Prepare detailed event timelines, ensuring that all departments (catering, banquet, kitchen, operations) are aligned.
- Oversee the setup, decoration, and arrangement of the wedding venue, ensuring it meets the clients’ expectations.
- Manage relationships with external vendors (florists, photographers, entertainment) to ensure seamless coordination.
- Record advance deposits when guests include signed confirmation letters. Give receipts to guests.
- Update all BEO’s upon changes for the kitchen and banquet manager, by issuing status change forms.
- Ensure that engineering, housekeeping, PBX or restaurants receive relevant BEO’s by using the BEO’s distribution checklist.
- Follow-up to finalize the guaranteed number of attendees for all functions by calling the client (48-72 business hours prior to the function).
- Accumulate lost business and cancellation reports for the month-end report.
- Check the 10 day catering event sheet before distribution.
- Effectively manage accounts to achieve business goals.
- Work closely with the Director of Catering to effectively communicate new trends and develop strategies to increase revenue.
- Develop event budgets, ensuring all catering services are provided within the agreed-upon financial parameters.
- Create and implement a strategic prospecting plan and action plan for review and approval by the Director of Catering.
- Conduct onsite inspections for potential clients.
- Resolve any issues or complaints swiftly and professionally, ensuring client satisfaction and the reputation of the hotel.
- Provides clear and concise communications to everyone having ownership in the success of the event.
- Responds quickly to guest requests and follows up to ensure guest satisfaction.
- Follow all company and safety and security policies and procedures; report accidents, injuries, and unsafe work conditions to the manager; and complete safety training and certifications.
- Develop and maintain positive working relationships with others, support the team to reach common goals.
- Ensure personal appearances are clean and professional, maintain confidentiality of proprietary information.
Qualifications
- Hospitality oriented
- Proven experience of at least 3 years in Catering or Food & Beverage management, preferably within a luxury hotel environment.
- Excellent interpersonal and communication skills, with the ability to interact professionally with clients, suppliers, and hotel staff.
- Must possess excellent written and oral communication skills, strong leadership skills, analytical and problem-solving skills, good customer service skills and multitasking skills.
- Strong business planning, account planning and budget management skills.
- Should work well under pressure, even with minimal supervision.
- Must be able to handle the pressures of simultaneously coordinating a wide range of activities and recommend appropriate solutions to clients problems.
- Fully Bilingual (Spanish/English).
