General Description

The Office of the Attorney General (OAG) is seeking an Administrative Assistant whose work will involve administrative support and technical program work for the Crime Victims’ Compensation Program (CVC) Central Records section in the Crime Victim Services Division. Work involves maintaining filing system, data entry, disseminating information, handling correspondence and documents, and general administrative support duties.

Essential Position Functions

  • Performs data entry and verification of incoming correspondence into the claims management system
  • Reviews and analyzes applications and initial information for benefits with limited instruction, direction, or review from supervisor
  • Performs complex research, gathers documents, analyzes and cross references information to verify and index all correspondence on document imaging system and performs quality control of scanned documents
  • Process documents within the established time frame
  • Prepares and distributes routine and special correspondence, report, forms, and documents
  • Responds to verbal and written inquiries concerning claims status and general information about the program
  • Trains and/or mentors administrative support staff in performing related activities
  • Performs related work as assigned
  • Maintains relevant knowledge necessary to perform essential job functions
  • Attends work regularly in compliance with agreed-upon work schedule
  • Ensures security and confidentiality of sensitive and/or protected information
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity

Qualifications

MINIMUM QUALIFICATIONS

  • Education: Graduation from high school or equivalent
  • Experience: Two years of full-time experience working in the following (or closely related) fields: administrative support, customer service, clerical, general office experience; may substitute sixty hours from an accredited college or university
  • Skill in handling multiple tasks, prioritizing, and meeting deadlines
  • Skill in effective oral and written communication
  • Skill in exercising sound judgment and effective decision making
  • Skill in using a computer for word-processing and data entry/retrieval
  • Skill in gathering and analyzing accurate and relevant information.
  • Ability to receive and respond positively to constructive feedback
  • Ability to work cooperatively with others in a professional office environment
  • Ability to provide excellent customer service
  • Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG workspace within OAG work location, and perform in-person work with coworkers (e.g., working, collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
  • Ability to arrange for personal transportation for business-related travel
  • Ability to work more than 40 hours as needed and in compliance with the FLSA
  • Ability to lift and relocate 30 lbs.
  • Ability to type 35 wpm (Typing test required at time of interview)
  • Ability to travel (including overnight travel) up to 5%

Preferred Qualifications

  • Experience: In document imaging, mail processing, or data entry
  • Skilled in the use of Microsoft Office Suite
  • Other Language: Ability to proficiently read, write, and speak Spanish
