ABOUT THE ROLE

Reporting to the Head of People & Capability, as Document Controller, you will be responsible for effectively administering all controlled documents and maintaining the company’s documentation systems, preserving the integrity, accuracy, security, and compliance with industry standards, company policies, and regulatory requirements.

This is a full-time, office-based role offering a dynamic environment where you’ll work closely with various departments and external stakeholders to ensure the smooth and efficient management of company documentation.

WHAT YOU’LL DO

  • Oversee and manage the document control system, ensuring accuracy and accessibility.
  • Serve as the central point of contact for all document-related inquiries.
  • Review, format and doc control internal company policies, procedures and forms.
  • Maintain and enhance the functionality of Aconex as the system administrator.
  • Ensure compliance with ISO9001 standards and company branding.
  • Collaborate with project teams, contractors, and other departments to meet documentation needs.
  • Create and maintain training materials and quick reference guides for Aconex users and document control procedures.
  • Conduct document audits to ensure currency, accuracy and compliance.

ABOUT YOU

With meticulous attention to detail and accuracy, you will excel in reviewing, maintaining records, and verifying documents to uphold compliance, version control, and consistency. Your integrity and dedication to confidentiality are paramount, as you strive to deliver exceptional document control assistance to all internal and external stakeholders.

To be successful you will have:

  • A proven track record as a Document Controller (3+ years’ experience preferred).
  • Expertise with Aconex, Office 365 (SharePoint, Word, Excel, Teams), and Adobe Acrobat Pro.
  • Knowledge of ISO9001 standards, quality principles, and engineering documentation.
  • Exceptional attention to detail, organisational skills, and the ability to manage multiple priorities in a fast-paced environment.
  • A friendly, professional demeanour with excellent communication and stakeholder engagement skills.
  • Certification in Document Control, Records Management, or Business Administration (preferred).
