About Barrel

We’re searching for a highly organized, proactive Executive Assistant to support our CEO, Lucas Ballasy. In this role, you will collaborate closely with the executive team, manage day-to-day operations, and help streamline our business development processes.
Key Responsibilities:
Communication Management
– Support the CEO in email follow-ups and outreach: draft, edit, and send communications as needed.
– Prepare and distribute daily business development (BD) briefs using established templates.
Scheduling & Coordination
– Manage the CEO’s calendar, schedule and coordinate internal and external meetings, and prevent scheduling conflicts.
– Maintain meeting agendas, take notes, and manage follow-up action items. Leverage AI to ensure accuracy and efficiency.
CRM & Pipeline Oversight
– Update leads and deals within HubSpot, moving them through stages.
– Conduct weekly pipeline check-ins, sending follow-up emails or “closing the loop” messages where appropriate.
Reporting & Scorecards
– Update and maintain the business development leads tracker and scorecard.
– Generate weekly performance reports and present key metrics during team meetings.
Meeting Participation & Summaries
– Join select business development and partnership calls, taking detailed notes.
– Summarize meeting outcomes, delegate tasks, and ensure next steps are followed through.
Special Projects
– Support CEO on any special projects as needed, could range from putting together presentations, research on various topics, and coordinating with subject matter experts.

Highly Organized & Detail-Oriented: Able to juggle multiple responsibilities and maintain a high degree of accuracy.

Excellent Communicator: Strong writing and verbal communication skills.
Proactive Problem-Solver: Anticipates needs, comes prepared with solutions, and has a can-do attitude.
Tech Savvy: Spreadsheet proficiency is a MUST – experience with formulas and pivot tables in Google Sheets and Excel. Also must be proficient in AI tools such as ChatGPT or Claude.
Team Player: Eager to collaborate, open to feedback, and adaptable in a fast-paced environment.
Compensation & Benefits:
Starting Salary: $44,000/year
