We are currently expanding and looking for a proactive and detail-oriented Personal Assistant to support our leadership and operations team.
Role Overview
As a Personal Assistant at Flex Living, you will work closely with the founder and leadership team to manage daily schedules, oversee administrative tasks, and ensure seamless coordination across various aspects of the business. This role requires exceptional organizational skills, discretion, and the ability to work in a dynamic environment.
Key Responsibilities
- Executive Support
- Manage the founder’s and leadership team’s schedules, appointments, and meetings.
- Prepare and organize documents, presentations, and reports as needed.
- Handle email correspondence, prioritize tasks, and manage deadlines.
- Administrative Tasks
- Maintain and update records, files, and databases.
- Coordinate travel arrangements, accommodations, and itineraries.
- Oversee office supplies and ensure smooth daily operations.
- Project Coordination
- Assist in managing projects, tracking progress, and ensuring timely execution.
- Communicate with internal teams and external partners to facilitate workflows.
- Client and Partner Liaison
- Act as a point of contact for clients, investors, and partners.
- Ensure professional and efficient communication on behalf of the company.
- Personal Tasks
- Handle personal errands and tasks for the founder as required.
- Support in managing personal schedules and commitments.
Skills & Qualifications
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Exceptional organizational and multitasking abilities.
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite and Google Workspace.
- Ability to handle sensitive information with discretion and professionalism.
- Problem-solving mindset with a proactive attitude.
- Flexibility to adapt to a fast-paced and evolving work environment.
Preferred Qualifications
- Experience in the real estate, hospitality, or startup industry.
- Familiarity with remote work tools (e.g., Slack, Zoom, Asana).
- Multilingual abilities are a plus.
