Position Overview

We are looking for a proactive and highly organized Executive Assistant to support our CEO in navigating the dynamic and fast-paced world of a startup. This role requires someone who thrives in a startup environment, is adaptable to change, and is excited about contributing to a growing company. The ideal candidate will be an exceptional communicator, problem-solver, and trusted partner to the CEO.

Key Responsibilities

  • Calendar Management:

Manage the CEO’s calendar, schedule internal and external meetings, prioritize time-sensitive engagements, and resolve conflicts efficiently.

  • Communication:

Serve as the CEO’s primary point of contact for internal and external communications, draft emails, prepare presentations, and coordinate correspondence.

  • Meeting Preparation:

Prepare agendas, take detailed notes, and follow up on action items for key meetings with stakeholders, clients, and team members.

  • Travel Coordination:

Plan and organize the CEO’s travel arrangements, including flights, accommodations, itineraries, and expense reporting.

  • Project Support:

Assist with strategic projects, research, and data analysis as needed, ensuring timely completion of deliverables.

  • Administrative Tasks:

Handle routine administrative duties, including expense reporting, document organization, and managing sensitive information with discretion.

  • Relationship Management:

Build strong relationships with key stakeholders, partners, and team members to ensure seamless communication and collaboration.

Qualifications

  • Experience:

3-5 years of experience as an Executive Assistant, preferably supporting a C-level executive in a startup or fast-paced environment.

  • Skills:
  • Exceptional organizational and time-management skills.
  • Excellent written and verbal English communication abilities (high proficiency required).
  • Proficiency in tools like Google Workspace, project management software (e.g., Asana, Notion), and CRM platforms.
  • Tech-savvy with the ability to quickly learn and adapt to new tools and systems.
  • Personal Attributes:
  • Comfortable working in a startup environment with shifting priorities and a fast pace.
  • High level of professionalism and discretion when handling confidential information.
  • Proactive mindset with a strong ability to anticipate needs and solve problems.
  • Adaptable, resourceful, and capable of managing multiple priorities independently.
  • Education:

Bachelor’s degree in Business Administration, Communications, or a related field is preferred but not required.
