Alloy Women’s Health is seeking an exceptionally organized and resourceful Executive Assistant to support Alloy’s two Co-CEOs. Reporting to the Chief of Staff, this individual will play a critical role in ensuring seamless operations and effective time management, taking ownership of complex scheduling, logistical coordination, and administrative support. With a proactive mindset and high emotional intelligence, this role will help streamline processes, enhance productivity, and enable Alloy’s leaders to focus on driving the mission to transform menopause care and improve the lives of our diverse customers.

Role and Responsibilities

Strategic Partnership

  • Collaborate closely with the Chief of Staff to align executive support with company priorities.
  • Build strong relationships with internal teams and external stakeholders to facilitate seamless communication and coordination.

Executive Operations

  • Manage complex calendars, including scheduling across multiple time zones, prioritizing meetings, and ensuring optimal time utilization.
  • Oversee internal and external communications, triaging emails, managing correspondence, and preparing executives for meetings.
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics.
  • Prepare detailed expense reports and oversee administrative documentation across jurisdictions.

Meeting and Event Coordination

  • Organize and prepare materials for board meetings, executive team sessions, and strategic initiatives.
  • Develop agendas, presentations, and follow-up action plans to ensure clarity and accountability.
  • Manage the logistics of virtual and in-person meetings, including technology setup and coordination with participants.

Research and Presentation Support

  • Conduct research on topics relevant to executive initiatives and strategic goals.
  • Create and edit high-quality presentations for internal and external audiences.
  • Compile briefing materials for meetings to ensure executives are well-prepared.

Special Projects and Administrative Excellence

  • Lead or assist with special projects, working across departments to ensure timely and effective execution.
  • Maintain digital filing systems, ensuring accurate documentation and easy retrieval of key information.
  • Handle sensitive and confidential information with discretion, professionalism, and sound judgment.

Professional Qualifications

Required

  • 5+ years of experience as an Executive Assistant, with a preference for startup or high-growth environments.
  • Proven ability to support C-level executives in a remote or hybrid work setting.
  • Advanced proficiency with Microsoft Office Suite, Google Workspace, Slack, and project management tools.
  • Exceptional organizational skills, with the ability to prioritize and manage multiple competing tasks.
  • Outstanding verbal and written communication skills, with a polished and professional demeanor.
  • Experience managing schedules, travel, and communications across multiple time zones.
  • Strong research and synthesis abilities, with demonstrated skill in creating polished presentations.
  • A proactive approach to problem-solving and an ability to anticipate executive needs.
  • High emotional intelligence, with the ability to build relationships and navigate sensitive situations effectively.

Preferred

  • Experience working in international business environments or with global teams.
  • Previous experience in dual-executive support roles.
  • Familiarity with scaling organizations and supporting startup operations.
  • Expertise in advanced PowerPoint design and virtual collaboration tools.
