Job Description

The Office Administrator the position will provide administrative support to the Branches and will perform a variety of duties such as meeting planning, updating various spreadsheets, answering calls, assisting field personnel.

We are looking for someone who can take charge of challenging projects, encourage teamwork, and supply energy and enthusiasm required to continually improve processes within the Branch, thereby supporting Branch Supervisor, Project Managers, and other administrative staff to meet or exceed our objectives.

Responsibilities

Answer phones/door in a prompt courteous manner, forward as needed to appropriate personnel.

Open and stamp all incoming mail.

Handle outgoing mail and packages: Includes postage machine (ink & funds), UPS Labels, etc.

Prepare and maintain new hire / rehire employee files: create folders and new hire packets

Maintain office supplies – ordering and inventory

Maintain restroom supplies (shop & office) – ordering and inventory

Copying and/or scanning projects as needed by project manager or other personnel.

Includes maintenance coverage of copier (call support and coordinate on issues)

Filing to include confidential files

Work closely with other administrative personnel to provide adequate coverage for vacation, sick days and other absences.

Assist with customer billing – intercompany system and customer systems.

Coordinate dumpsters and portable toilets for job sites (ordering & pickup)

Maintain Rental tooling spreadsheet

Assist with ordering and tracking of rental radios

Requirements

This position requires a decisive leader with a passion for hands-on work in outdoor environments and a strong drive for construction project management work. Must have a desire to work in a team-based environment and contribute immediately.

2-4 years prior experience in administrative support role required; emphasis in construction field preferred.

High School diploma required

Customer service oriented

Intense attention to detail with accuracy and consistency

Positive safety attitude and personal integrity – both are non-negotiable

Excellent Communicator, both verbal and written

Computer/technical skills including experience with Microsoft Office programs (Word, Excel, PPT, TEAMS, One Drive).

Moderate computer and software skills for basic data entry

Ability to reason and think logically in problem solving.

Ability to multi-task and prioritize various daily responsibilities to meet deadlines.

Competence to keep personnel information strictly confidential

Strong interpersonal skills; ability to interact and with all levels of the company at field sites and offices, and effectively deal with vendors, customers and regulatory agencies

Ability to see details and recognize errors, working within precise standards of accuracy.

Ability to update job knowledge by participating in educational opportunities
