Typically working as part of a team, responsible for providing operations services in order to facilitate the effective operation of the department. Provides effective support to all internal and external clients. Works under the supervision of a senior team member. Delivers in own area and contributes to overall departmental goals.

Responsibilities

  • Provides general support to the department and delivers in assigned work, contributing to overall departmental goals, policies and procedures.
  • Contributes to the successful completion of department projects.
  • Acts as a link connecting departments, clients and employees.
  • Maintains databases, creates reports and records.
  • Provides support in connection with the preparation, collation and distribution of documents.
  • Documents meeting minutes and follows up on actions. Provides general support to dedicated account teams
  • Co-ordinates management diaries, organises meetings and diary management for senior colleagues.
  • Resolves straight forward problems and escalates issues with suggestions for further investigation and options for consideration as required.
  • Documents processes and ensures they are adhered to, performs data capturing as required.
  • Maintains the status of personal responsibilities and works across teams to achieve department goals.
  • Plans and manages own time and work, contributing to overall on-time goals.
  • Acts as the primary contact for time and expense queries, responding promptly and accurately.
  • Assists with data reconciliation and support invoicing process.

Qualifications

  • Matric
  • An undergraduate degree or equivalent experience is preferred

  • Confident talking to stakeholders over the telephone and via email communications.
  • Proficient in relevant software packages and applications.
  • Able to build and maintain good relationships with internal teams and external contacts.
  • Has experience in working with databases.
  • Able to work on multiple systems
  • Good understanding and experience with Excel. Able to produce reports
  • Good numerical skills
  • Basic knowledge of travel arrangements or bookings.

Experience

  • 2 years’ experience working in an administrative role, creating and maintaining tracking spreadsheets
  • Experience working with budgets, forecasts and projections
