Position Summary
The TECTA Administrative Assistant 2 reports to the TECTA Director and is primarily responsible for data entry and administrative duties related to implementation of the TECTA statewide early childhood initiatives.
Austin Peay State University is a four-year public, doctoral-level university, with six colleges and four Chairs of Excellence. The University has an enrollment of over 9,000 students and is located in Clarksville, Tennessee, a community of an estimated 166,000 people located approximately 40 miles northwest of Nashville, TN
Primary Duties And Responsibilities
- Complete accurate database entry into multiple online databases
- Maintain accurate and organized files
- Maintain minutes for staff meetings
- Complete purchasing for the department
- Create/maintain contracts
- Serve as receptionist for the office
- Mail information to prospective students and for the program as needed
- Assist in the coordination of departmental activities.
- Conduct daily mail runs and other on-campus errands as needed
- Maintain inventory of supplies
- Assist other staff as needed
- Perform other job-related duties as assigned.
Knowledge, Skills, and Abilities
- Ability to efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.) and Web-based TECTA databases
- Ability to communicate effectively and appropriately.
- Ability to maintain confidentiality of records and information.
- Ability to interact in an effective and appropriate manner with diverse populations, the University community and the public.
- Ability to detect and correct grammatical and spelling errors in written correspondence.
- Ability to maintain files accurately, in paper and in software programs.
- Ability to handle multiple tasks simultaneously.
- Ability to effectively supervise personnel and complete all associated personnel actions in a timely and accurate manner.
- Ability to work a flexible schedule that may include week nights and Saturdays
- Ability to travel in an eleven county area for regional and statewide meetings as needed.
Physical Requirements
- Light Work: Exerting up to 25 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
Required Minimum Qualifications
- High school graduate or equivalent.
- Previous office experience.
- A background check will be required of the successful applicant.
- Knowledge of MS Word and Excel.
Preferred Qualification
- Experience working in an Early Childhood environment
