Position Summary Information

Position Summary

The TECTA Administrative Assistant 2 reports to the TECTA Director and is primarily responsible for data entry and administrative duties related to implementation of the TECTA statewide early childhood initiatives.

Austin Peay State University is a four-year public, doctoral-level university, with six colleges and four Chairs of Excellence. The University has an enrollment of over 9,000 students and is located in Clarksville, Tennessee, a community of an estimated 166,000 people located approximately 40 miles northwest of Nashville, TN

Primary Duties And Responsibilities

  • Complete accurate database entry into multiple online databases
  • Maintain accurate and organized files
  • Maintain minutes for staff meetings
  • Complete purchasing for the department
  • Create/maintain contracts
  • Serve as receptionist for the office
  • Mail information to prospective students and for the program as needed
  • Assist in the coordination of departmental activities.
  • Conduct daily mail runs and other on-campus errands as needed
  • Maintain inventory of supplies
  • Assist other staff as needed
  • Perform other job-related duties as assigned.

Knowledge, Skills, and Abilities

  • Ability to efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.) and Web-based TECTA databases
  • Ability to communicate effectively and appropriately.
  • Ability to maintain confidentiality of records and information.
  • Ability to interact in an effective and appropriate manner with diverse populations, the University community and the public.
  • Ability to detect and correct grammatical and spelling errors in written correspondence.
  • Ability to maintain files accurately, in paper and in software programs.
  • Ability to handle multiple tasks simultaneously.
  • Ability to effectively supervise personnel and complete all associated personnel actions in a timely and accurate manner.
  • Ability to work a flexible schedule that may include week nights and Saturdays
  • Ability to travel in an eleven county area for regional and statewide meetings as needed.

Physical Requirements

  • Light Work: Exerting up to 25 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.

Required Minimum Qualifications

  • High school graduate or equivalent.
  • Previous office experience.
  • A background check will be required of the successful applicant.
  • Knowledge of MS Word and Excel.

Preferred Qualification

  • Experience working in an Early Childhood environment
