Job Description
The Role
The Operations Specialist will report to the Operations Supervisor and play a key role in ensuring the successful execution of the Hold Agreement and Broker Agreement processes. Key aspects of the role include managing administrative duties, maintaining accurate records and data, and coordinating logistics with brokers, landlords, internal team members, and external partners to ensure all agreement-related processes are completed efficiently and to the highest standards. The ideal candidate is detail-oriented, highly organized, and able to manage multiple priorities effectively while working collaboratively across teams to meet deadlines and deliver seamless support in securing housing for participants.
Key Responsibilities
- Draft, review, and coordinate agreements with property providers, ensuring accuracy, completeness, and timely countersignatures by Finance.
- Confirm banking information, process timely payments, and record payment details accurately.
- Coordinate broker agreements and incentive payments efficiently, ensuring all required documentation and approvals are complete.
- Track and manage all agreement-related activities, maintaining accurate records and providing timely reports on status and outstanding items.
- Ensure data integrity and accuracy in all tracking systems
- Maintain confidential tenant and landlord files within our database
- Demonstrate adaptability in supporting various departmental needs
Qualifications
- Bachelor’s degree and/or 2+ years’ experience in legal operations, contract management, or administrative support in a compliance-focused role
- Exceptional attention to detail and ability to review, draft, and revise legal agreements with a high level of accuracy
- Proficiency in contract management systems and ability to maintain accurate records of agreements, amendments, and key deadlines
Required Skills
- Ability to manage complex priorities and meet deadlines in a fast-paced, deadline-driven environment
- Strong communication skills, both written and verbal
- Familiarity with legal language and terms
- Ability to work independently and collaboratively as part of a team
- Discretion in handling confidential financial information
- Familiarity with the NYC housing market and voucher system a plus
- Proficiency in MS Word, Excel, PowerPoint and Salesforce
- Passion for the mission of the organization
- Ability to work in a diverse environment.
Compensation And Benefits
- Competitive Pay: $65,000 – $70,000 salary range (dependent on experience)
- Hybrid work environment (3-5 days in office/field per week)
