Job Overview

As the Assistant Director of Programs, you will be instrumental in advancing leadership development initiatives designed to empower individuals aged 18 to 25 in their efforts to strengthen, defend, and enhance democratic values. Reporting directly to the Director of Leadership Development Programs, you will engage in planning, coordinating, facilitating, and communicating across an array of pro-democracy initiatives that inspire and engage the emerging leaders of tomorrow.

Key Responsibilities

  • Spearhead and moderate program meetings and events for diverse groups ranging from 4 to over 100 participants.
  • Oversee logistics throughout the program lifecycle, including participant outreach, applications, communication, and marketing in collaboration with the communications team.
  • Assist in the development of program curriculum and contribute to brainstorming new program ideas and event planning.
  • Coordinate the collection of program data and feedback to foster continuous improvement and ensure learning objectives are met.
  • Maintain comprehensive records of program activities, progress, and outcomes while assisting in the creation of briefings, presentations, and follow-up resources.
  • Manage data in the program’s CRM system, including participant records, attendance, and feedback.
  • Collaborate with team members to optimize processes and systems using project management tools and shared calendar applications.
  • Draft, review, and edit written materials with meticulous attention to detail.
  • Support event planning, encompassing both virtual and in-person logistics and travel arrangements.
  • Supervise billing and invoicing procedures for program-related expenses.
  • Build relationships with youth organizations, campus leaders, and community programs through targeted engagement.
  • Address challenges, ensure compliance with deadlines, and enhance operational efficiency.
  • Oversee interns and seasonal staff to support program execution.
  • Undertake additional responsibilities as required to contribute to overall program success.

Required Skills

  • Strong capability to balance overarching goals with meticulous attention to detail.
  • Self-motivated, goal-oriented, and highly organized, with a demonstrated ability to manage multiple tasks concurrently.
  • Experience in budgeting and financial management is advantageous.
  • Proficient in project and program planning, with experience in both in-person and virtual presentation and facilitation.
  • Exceptional written and verbal communication skills, with a proactive approach to conflict resolution.
  • Strong interpersonal abilities to cultivate relationships with a diverse range of stakeholders, including participants, staff, board members, and external partners.
  • Previous experience supervising interns or similar roles is preferred.
  • A minimum of 5 years of experience in educational, community-building, or leadership programs specifically working with young individuals.
  • Knowledge or experience in non-partisan civic initiatives, with the aptitude to engage individuals from various backgrounds in meaningful discourse.
  • Comfortable utilizing technology, including Microsoft and Google Suites, CRM systems (preferably Salesforce), application platforms (such as Typeform, SurveyMonkey), and online collaboration tools like Zoom and Slack.
  • A Bachelor’s degree is preferred.
