What Are We Looking For

MultiplyMii is in search of an Executive Assistant to support our client, a New York-based independent consultant working primarily with clients in the media and advertising industries. This consultant advises clients on strategic alternatives, business development, market entry, product innovation, organizational structure, and more.

We are looking for a proactive and highly organized Executive Assistant to provide all-around support, primarily focused on managing emails and calendars, conducting thorough research, and performing data entry. The ideal candidate will be resourceful, detail-oriented, and capable of handling a wide range of responsibilities, from overseeing daily operations to addressing the executive’s diverse needs.

This role requires a high level of responsiveness, a strong presence, and meticulous attention to detail. The purpose is to ensure seamless support during overnight hours, covering the executive’s needs effectively and efficiently.

This role is 100% work from home.

In This Role, You Will

  • Efficiently manage the executive’s calendar, including scheduling meetings and appointments.
  • Handle email and calendar management, ensuring timely responses and organization, especially outside of standard US business hours.
  • Work independently, maintaining a high level of productivity and accountability
  • Maintain clear, concise communication, with keen attention to detail in all written correspondence.
  • Use tools like Google Suite, Microsoft Office, and Notion to manage tasks and projects efficiently.
  • Conduct research on various topics while ensuring accurate data entry and proper organization of information in databases.
  • Research and prepare background information for meetings and appointments.
  • Assist with additional administrative and organizational tasks as assigned.

About You

Core qualifications:

  • 1-3 years of experience as an Executive Assistant or similar role
  • Strong written and verbal English communication skills.
  • Proficiency in Google Suite and Microsoft Office; experience with project management tools like Notion is a plus.
  • Exceptional attention to detail and organizational skills.
  • Strong time management abilities, with the capacity to prioritize tasks and manage deadlines.
  • Highly responsive and adaptable to changing priorities, demonstrating a professional and composed presence at all times.

Technical Requirements (Device)

  • Laptop/Computer (at least 8GB RAM)
  • Headset (preferable noise canceling microphone)
  • Fast/Stable Internet Connection (At least 10 mbps)

Shift and Schedule: The position will begin with a shift during US business hours for the first few weeks and will transition to a US night shift (Philippine morning) afterward.
