As Our Executive Support Officer, You Will
- Provide high level, confidential secretarial and support functions, including diary management, to the Chief Information Officer and the Office of the Chief Information Officer within Information Technology Partners (ITP), Department of Agriculture and Fisheries.
- Maintain the highest level of confidentiality while coordinating the inbox of the Chief Information Officer. This includes ensuring urgent requests are progressed as a priority, items requiring on forwarding are distributed appropriately, and emails are responded to in a timely manner.
- Organise meetings with staff at all levels within the business area, with other public sector agencies, as well as with external organisations and stakeholders.
- Oversee travel, accommodation purchasing requirements for the office of the Chief Information Officer.
- Prepare meeting packs for the Chief Information Officer, including liaising with relevant staff and stakeholders to ensure supporting papers are available for meetings.
- Liaise with other business support staff to ensure administration services and processes are coordinated and seamless across the directorates.
- Assist the Principal Executive Officer and Executive officer in their roles, this may include occasional project work, data collation, event support and review of processes to ensure best practice are occurring.
- Review administrative practices and make recommendations to support the ITP change agenda.
- Coordinate purchasing requirements as required.
- Support a positive culture within the office utilising strong interpersonal communication to enable the delivery of effective and timely executive support.
- Other duties as required.
