Your Responsibilities

  • Financial Management: Oversee accounts payable and accounts receivable processes, ensuring timely payment of bills and creation of invoices. You’ll also manage client deposits and close out bills once projects are completed.
  • Transaction Coordination: Accurately categorize all financial transactions in QuickBooks to maintain clear and precise records.
  • Client Communication: Act as the main point of contact for clients, guiding them through every phase of the project—from estimate approvals to final payments—to ensure satisfaction and transparency.
  • Administrative Oversight: Manage subscriptions, warranties, and equipment financing while serving as the go-to internal contact for cross-department coordination.
  • CRM and Data Management: Keep our CRM system (preferably HubSpot) running smoothly to support seamless communication and workflows across the organization.

Ideal Profile

What We’re Looking For

  • Experience: A proven track record in financial processes and QuickBooks expertise. Experience with CRM tools like HubSpot is a plus.
  • Skills: Proficiency in Google Docs and Sheets. Excellent written and verbal communication skills in English to interact effectively with clients and team members.
  • Attributes: You thrive in a detail-oriented, fast-paced environment, handling multiple tasks with precision. A proactive and organized approach to problem-solving is essential.
  • Education: A degree or certification in finance, business administration, or a related field is preferred but not required.
