Summary
The Event Coordinator will be responsible for planning, organizing, and executing various events (both onsite and offsite), ensuring they run smoothly from start to finish. This involves coordinating with clients, vendors, and staff, managing budgets, timelines, and logistics, and troubleshooting any issues that may arise during the event. Additionally, Event Coordinators will be responsible for providing friendly, responsive service that supports an exceptional experience for all guests.
Responsibilities
- Execute banquet events according to Banquet Event Orders by delegating server & team member tasks and duties, and to communicate floor plan set-up.
- Work closely with the Events Supervisor and/or Events Manager in the coordination of events and/or group functions.
- Assists with the growth and support of offsite catering with sales, planning details, and execution.
- Maintain an updated and detailed price sheet of all billable products and services that accurately reflects current costs and the company’s profit objectives.
- Solicit and promote special event and banquet business, contacting past customers, establishing relationships with local businesses, and other cost-effective activities. Negotiate pricing to be approved by the Events Supervisor and/or Events Manager, prepare contracts, and secure customer signatures.
- Ensure the process for securing a date and collecting final payment is adhered to.
- Document final arrangements with clients on the BEO. Obtain all specifications and pertinent information concerning the function, including but not limited to, guaranteed number attending and menu.
- Regularly review upcoming BEOs and have a thorough understanding of all requirements on upcoming scheduled group functions.
- Manage events and client expectations from initial contact through event completion.
- Assist in the preparation and completion of an accurate bill to the customer at the completion of the function and collect final payment. If another payment arrangement has been made, have the terms noted on the bill.
- Have the willingness and flexibility to act as Banquet Captain, as needed.
- Provide weekly updates on Banquet Event Order (BEO) to the Chef/Supervisor.
- Accurately record actuals in applicable system after each event or functions.
- Maintain an updated calendar that reflects pertinent data from OpenTable and/or Tripleseat to ensure accurate information is always available.
- Respond to Leads in the system within 24 hours.
- Perform daily Bistro walk-ins to provide valuable information based on guest’s inquiries.
- Work closely with the sales team and participate in meetings on a regular basis.
- Provide management support for Day-of-Event activities to include registration functions.
- Participate and assist in department marketing efforts and sales goals.
- Making connections with potential customers through cold calling.
- Provide training to Host/Reservation team members pertaining to event operations.
- Be knowledgeable of all restaurant policies and procedures.
- Fully understand and comply with all federal, state, county, and municipal regulations regarding health and safety pertaining to employees and guests.
- Solicit, detail and on occasion assist with execution of offsite catering.
Requirements
- High School Diploma or GED.
- At least 2 years of related experience and/or training in the service, food, and beverage industry with working knowledge of restaurant and/or banquet/event operations.
- Proficiency with Microsoft Excel, Word, PowerPoint, and Outlook. Experience with Ctuit, Aloha, Caterease, TripleSeat, and/or Open Table.
- Must have a current San Diego County Food Handlers card, issued by the city of San Diego. Must possess a current RBS (Responsible Alcohol Beverage Service) training certificate. Certified Beer Server preferred.
- Reliable transportation is necessary.
