With 1200+ lawyers, 300+ partners, 28 offices and 17 jurisdictions we are looking to expand our Facilities team, with the addition of a Receptionist.

The opportunity for you

The Receptionist/Office Administrator provides essential front of house and administrative support to ensure the smooth operation of the office.

This role includes managing all front desk operations with professionalism and efficiency, meeting and greeting visitors, handling diary management and boardroom coordination, call handling, and broader administrative support tasks.

A proactive and reliable individual is required for this role. The successful candidate will be able to manage routine tasks efficiently while maintaining a high standard of service.

Key responsibilities

Front of House: You are the first point of contact for our clients, setting the tone by providing an exceptional level of service. Your duties include:

Reception & Visiting Taylor Wessing Colleagues:

  • Warmly welcome and greet all clients, visitors, and staff upon arrival.
  • Manage client check-in processes with confidentiality and professionalism.
  • Signpost Taylor Wessing colleagues to services and facilities.

Diary Management and Boardroom Coordination:

  • Ensure the reception area is tidy and presentable at all times.
  • Schedule appropriate conference rooms for client meetings, internal meetings, and events.
  • Ensure meeting rooms are clean, prepared, and stocked with necessary materials and refreshments in advance of each meeting.
  • Assist with and proactively manage all aspects of event management including meet-and-greet, registration etc.

Call Handling:

  • Answer incoming calls promptly and route them to the appropriate personnel or department.
  • Manage voicemail messages efficiently, ensuring timely responses.

Administrative Support:

  • Log, scan, manage all communications (including incoming/outgoing post), couriers, deliveries efficiently.
  • Lead on archiving.
  • Provide administrative assistance to various departments as required.
  • Assist with ordering supplies.

Knowledge, Skills And Experience

  • Strong organisational skills with attention to detail.
  • Excellent communication skills both written and oral.
  • Ability to work independently and manage time effectively.
  • Reliable with a strong sense of responsibility towards assigned tasks.
  • Proactive approach towards identifying issues/problems before they arise.
  • Prior experience in a receptionist or office administrator role is desirable but not essential.
  • Basic knowledge of office equipment (e.g., photocopiers) is advantageous.
  • Familiarity with Microsoft Office applications (Word/Excel) is beneficial.
