Job Title: Executive Assistant

Job Overview

We are seeking an organized and proactive Executive Assistant to provide high-level administrative support to the Founder of a well establish igaming/Gambling company. This role involves managing schedules, organizing meetings, coordinating communications, and handling various administrative tasks. The successful candidate will exhibit professionalism, maintain confidentiality, and demonstrate exceptional attention to detail.

Key Responsibilities

  • Strategic Support: Assist with the management of OKR goal-setting processes and performance review schedules.
  • Calendar & Scheduling: Effectively coordinate and manage the executive’s calendar, ensuring optimal time allocation for meetings, appointments, and events. Proactively identify and resolve scheduling conflicts.
  • Travel Arrangements: Organize domestic and international travel, including booking flights, accommodations, and transportation, as well as preparing detailed travel itineraries.
  • Meeting Coordination: Prepare materials, agendas, and presentations for meetings. Record minutes, track action items, and follow up on deliverables and deadlines.
  • Project Coordination: Collaborate on ongoing projects by monitoring milestones, deadlines, and deliverables, while liaising with internal departments or external stakeholders.
  • Client & Vendor Interaction: Provide support in coordinating events, conferences, and other business development activities.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Office Administration: Assist in managing small office operations as needed.

Qualifications

  • Demonstrated experience as an Executive Assistant, Personal Assistant, or in a similar capacity.
  • Must be able to speak Spanish and English.
  • Outstanding organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Exceptional written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools.
  • Strong attention to detail and a problem-solving mindset.
  • Proven ability to handle confidential information with integrity and professionalism.
  • A Bachelor’s degree or equivalent experience is preferred.
  • Ability to work both independently and collaboratively within a team setting.

Preferred Skills

  • Familiarity with project management tools such as Monday.com or Jira.
  • Experience in financial reporting or budget tracking.
  • Background in fast-paced industries such as tech, performance marketing, or start-ups.
