Assistant Event Coordinator

Job Summary

The Assistant Event Coordinator will support the planning, coordination, and execution of events, ensuring smooth operations and exceptional attendee experiences. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities

Event Planning and Coordination

  • Assist in planning event details, including logistics, timelines, and budgets.
  • Communicate with vendors, venues, and other stakeholders to ensure timely delivery of services.
  • Support the creation of event layouts, schedules, and agendas.


On-Site Event Management

  • Help set up and tear down event spaces, ensuring compliance with the event plan.
  • Act as a point of contact for attendees, vendors, and staff during events.
  • Address and resolve issues promptly to maintain event quality.


Administrative Support

  • Maintain accurate records, contracts, and event documentation.
  • Prepare event-related materials, including invitations, programs, and signage.
  • Monitor expenses to ensure events stay within budget.


Post-Event Follow-Up

  • Collect feedback from attendees, vendors, and staff to evaluate event success.
  • Assist in generating post-event reports and analytics.
  • Coordinate thank-you notes and post-event communications.

Skills, Knowledge and Expertise

  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in event management software and tools is a plus.
